CapMatch: the right capstone adviser, panel and chairman, matched in seconds

CapMatch is a web-based system for senior Information Technology students of Agusan del Sur State University (ADSSU). It reads the Capstone Request Form (title, abstract, keywords, research area and methodology), scores every faculty member's research profile using TF-IDF and cosine similarity, and assigns one adviser, two panel members and one chairman.

Features

  • TF-IDF and cosine similarity matching with a transparent 0 to 1 match score, verified against scikit-learn
  • Synonym expansion for IT keywords (ML, machine learning, deep learning)
  • Automatic assignment of the complete examining committee
  • Fair faculty load balancing with adviser and panel capacity limits
  • Decline with reason and automatic reassignment to the next best-matched faculty
  • Conflict-free automatic defense scheduling
  • Ordered notifications: adviser, panel, chairman, then student
  • Coordinator oversight, reports, audit trail and ISO/IEC 25010 evaluation

How it works

  1. Submit the Capstone Request Form
  2. Preprocess and vectorize the topic and faculty profiles
  3. Rank faculty by cosine similarity, adjusted for workload
  4. Assign the adviser, panel and chairman
  5. Schedule the defense and validate
